
Financial Disclosure
The purpose of this financial disclosure is to outline the financial policies, fees, and responsibilities of both Mid-Atlantic Veterinary Dermatology and our clients. This document helps ensure transparency and sets clear expectations:
1. Payment Policies:
Payment Due at Time of Service: Payment is required at the time services are rendered. This includes consultations, treatments, medications, and any other services provided.
Accepted Payment Methods: We accept cash, credit cards (Visa, MasterCard, American Express), debit cards, and approved medical credit lines such as CareCredit and Wells Fargo. Checks are accepted on a case-by-case basis and will require a copy of a valid driver’s license.
2. Estimates and Treatment Plans:
Cost Estimates: Upon request, we will provide a written estimate of anticipated costs for treatments or procedures. Please note that actual costs may vary based on the pet’s individual needs and response to treatment.
Approval of Treatment Plans: Before proceeding with any treatment or procedure, a written treatment plan and cost estimate will be presented for your approval. In some cases, a deposit of 50% will be required for comprehensive surgical procedures.
3. Insurance:
Pet Insurance Claims: We are happy to assist you with pet insurance claims by providing detailed invoices and medical records. However, you are responsible for filing the claim and ensuring payment from your insurance provider. This is standard across all pet insurance providers.
4. Financial Assistance:
Payment Plans: In certain circumstances, and at our discretion, we may offer payment plans. These must be discussed and approved in advance.
Third-Party Financing: We work with third-party financing options such as CareCredit, scratchpay, and wellsfargo to help manage veterinary expenses.
5. Cancellation and Missed Appointment Fees:
Cancellation Policy: We require at least 48 hours notice for appointment cancellations. A rebooking deposit of $150 may be required for late cancellations or missed appointments. This amount is $75 for rechecks. Chronic cancellations and no-shows may be charged a deposit equal to the entire appointment fee before the appointment is confirmed.
6. Returned Checks:
NSF Fees: A fee will be charged for any returned checks due to insufficient funds or other reasons.
7. Disputes:
Resolution of Disputes: Any disputes regarding fees or services should be addressed promptly with our management team to seek resolution.
8. Returns:
Virginia Guidelines: Virginia laws and regulations regarding the return of dispensed drugs, including those in a veterinary context, are stringent and designed to ensure public safety and compliance with federal and state regulations.
Return and Re-dispensing Prohibition: Veterinarians and pharmacies are prohibited from accepting returned prescription drugs for re-dispensing due to concerns about the safety and integrity of the drugs once they have left the premises (https://law.lis.virginia.gov/vacode/title54.1/chapter34/section54.1-3411.1)
